WD: Text Added to End of Line Not Included in Cross-Reference

SYMPTOMS

If you insert a cross-reference to some text and then add some text to the end of the cross-referenced text, Word for Windows does not include that text when you update the cross-reference.

This happens when you select Heading, Bookmark, Equation, Figure, or Table from the Reference Types list in the Insert Cross-Reference dialog box. This does not happen when you cross-reference endnotes, footnotes, or page numbers because Word only references the number for these elements.

For example, type the following paragraph and apply the Heading 1 style:

   This is a Heading One Paragraph

Insert a cross-reference to this heading on a separate line in your document. Then add some text to the end of the Heading 1 paragraph, as shown below:

   This is a Heading One Paragraph with more text

If you update the cross-reference to this paragraph, Word does not include " with more text".

By contrast, Word correctly updates the cross-reference with text you add to the beginning or middle of a cross-referenced paragraph.

CAUSE

When you position the insertion point after the last character of cross- referenced text, Word places additional text outside the special, hidden bookmark it uses to mark that cross-referenced text. As a result, Word does not include the text in the cross-reference.

You can easily view this behavior if you select the Bookmarks option in the Tools Options dialog box under the View tab. Word places nonprinting square brackets ([]) around the cross-referenced text to mark the special, hidden bookmarks it inserts. With the Bookmarks option selected, the two examples in the previous section display as follows:

   [This is a Heading One Paragraph]

   [This is a Heading One Paragraph] with more text

STATUS

We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.

WORKAROUND

To change or add text to the end of a cross-referenced paragraph, make the changes before the last word and then delete the last word.
