WD: Reset Switch Behavior in Caption with Chapter Numbers

Last reviewed: February 5, 1998
Article ID: Q126081
The information in this article applies to:
  • Microsoft Word for Windows, versions 6.0, 6.0a, 6.0c
  • Microsoft Word for Windows 95, versions 7.0, 7.0a
  • Microsoft Word for the Macintosh, versions 6.0, 6.0.1
  • Microsoft Word for Windows NT, version 6.0

SYMPTOMS

When you insert a caption in a document that includes chapter numbering in the caption numbers, captions whose \r switch you modified are reset to 1.

CAUSE

When you select the Include Chapter Numbers option, Word replaces the existing captions with new ones, overwriting any changes you made to the captions' SEQ fields.

This behavior does not occur when the caption does not include the chapter number.

Word automatically puts the \r switch in the first SEQ field for a caption sequence when including Chapter Numbers. The sequence starting number can be changed from the default 1 to a different number. If a caption is inserted prior to the caption that contains the \r switch, then the caption numbering sequence does not update correctly because the \r switch is not deleted when the sequence numbering is refreshed.

WORKAROUND

Change the restart information only after all the captions have been inserted.

To set or change a caption sequence starting number, do the following:

  1. On the Tools menu, click Options, and then click the View tab.

  2. Click to select the Field Codes check box, and then click OK.

  3. In the SEQ field, place the insertion point at the end of the field (to the left of the closing field bracket) and type "\r n" (without the quotation marks), where "n" is the number you want to begin the sequence.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.
