Icons, ToolTips, and the Location of Buttons Within The Office Compatible 97 Standard Toolbar

The icons, locations, and ToolTips for buttons used on the Office toolbar have been standardized, and Office Compatible 97 products must conform to this standard as described below:

Button Name: New

Icon:

ToolTip: New

Location: The left-most item on the Toolbar, as illustrated in Figure 1.

Purpose: Creates a new document.

Testing Status: Mandatory for File-Based Standalone applications. A suitably adapted button is also mandatory for Non-File-Based Standalone applications. For example, a connectivity product might use an icon which resembles a mainframe, and the ToolTip might be New or New Connection. Note, however, that all design adaptations (e.g., a mainframe icon or the "New Connection" ToolTip) must be approved by Microsoft prior to testing. Other applications that include a New button (or a substantially comparable button) on their toolbar must use the standard icon, location, and ToolTip.

Button Name: Open

Icon:

ToolTip: Open

Location: The second button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to fill the bar if New is not supported.

Purpose: Opens an existing document.

Testing Status: Mandatory for File-Based Standalone applications. For Non-File-Based Standalone applications, a suitably adapted button is also mandatory. For example, a connectivity product might use an Open or Open Prior Connection button to restore a prior connection. Note, however, that all design adaptations (i.e., "Open Prior Connection") must be approved by Microsoft prior to testing. Other applications that include the Open button (or a substantially comparable entry) must use the standard icon, location, and ToolTip.

Button Name: Save

Location: The third button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Saves the document.

Testing Status: Mandatory for File-Based Standalone applications. Other applications that include a Save button (or a substantially comparable button) on their toolbar must use the standard icon, location, and ToolTip.

Button Name: Print

Location: The fourth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Prints the current document.

Testing Status: Mandatory for File-Based Standalone applications. Other applications that include the Print button (or a substantially comparable button) on their toolbar must use the standard icon, location, and ToolTip.

Button Name: Print Preview

ToolTip: Print Preview

Location: The fifth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Displays a WYSIWYG view which shows how the currently active document (or comparable application-specific object) would be printed.

Testing Status: Print Preview is not required, but applications that support it (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Spelling

ToolTip: Spelling

Location: The sixth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Checks spelling in the current document.

Testing Status: Spelling is not required, but applications that support it (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Cut

Location: The seventh button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Cuts the current selection from a document (or comparable application-specific object), and places it on the Windows clipboard.

Testing Status: Mandatory for File-Based Standalone applications. Other applications that support Cut (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Copy

Location: The eighth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Copies the current selection from a document (or comparable application-specific object), and places it on the Windows clipboard.

Testing Status: Mandatory for File-Based Standalone applications. Other applications that support Copy (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Paste

Location: The ninth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Pastes the contents of the Windows Clipboard at the current insertion point in a document (or comparable application-specific object).

Testing Status: Mandatory for File-Based Standalone applications. Other applications that support Paste (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Format Painter

Location: The tenth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Copies formatting from the current selection to a new one.

Testing Status: Not required, but applications that support format painting (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Undo

ToolTip: Undo

Location: The eleventh button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Undoes the last command that was executed

Testing Status: Not required, but applications that support Undo (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Redo/Repeat

Icon:

ToolTip: Redo (Repeat)

Location: The twelfth button from the left end of the toolbar, as illustrated in Figure 5. However, the button should be shifted to the left as necessary to close spaces left by unsupported buttons.

Purpose: Repeats the last command (or re-does the last command that was undone)

Testing Status: Not required, but applications that support Redo/Repeat (or substantially comparable functionality), must use the standard icon, location, and ToolTip on their toolbar (if any).

Button Name: Zoom Control

Icon: Non. Use dropdown list box instead.

ToolTip: Zoom Control

Location: The second element from the right end of the toolbar.

Purpose: Zooms in or out on the current document.

Testing Status: Not required, but applications that support zooming (or substantially comparable functionality), must use the standard list box, location, and ToolTip on their toolbar (if any).

Button Name: Help

Icon:

ToolTip: Help

Location: The right-most button on the toolbar, as illustrated in Figure 5.

Purpose: Activates context sensitive Help so users can obtain information about the items they click (see Office for example). Alternately, designers can omit the arrow (using only a question mark), and use the button to active a list of Help topics. The topics may be organized by Contents, an Indexed list, or in any other manner which is suitable to the product.

Testing Status: Mandatory for File-Based and Non-File-Based Standalone applications. Other applications that include Help (or a substantially comparable entry) must use the standard icon, location, and ToolTip.
